The application is built to track funds provided by the government to schools and educational institutions under different titles in the United States of America. The application focuses on monitoring the number of funds received and the expenditure. Reports for expenses such as salaries, workshops, employees, departments are individually recorded and organised for easy access and assessment.

The client's requirement was a sophisticated application to replace the ongoing stand-alone desktop application at the time. The application was built on Microsoft Access, which was pretty basic and needed to be updated manually between the users. After analysing the requirement, it was a no-brainer for me to suggest a cloud-based web app with multiple accounts for the required number of users.

During the briefing, the client emphasised that the users who use the system are not tech-savvy, and the client is not in a position to undertake any on-site training sessions as this was during the peak of the Covid-19 pandemic in 2020. Due to this factor, when I was creating the new design, I did my best to make it familiar for the users by adopting placements and flows of the previous system as much as I could.

We created a series of how-to videos and sent those to the users to make the transition easier. A help chat was placed on the system for the first three months to assist users with any difficulties.

In addition to the client's requirement, I suggested building a reporting module as an addition to the ongoing system. The reporting module allows the administrator users to generate timesheets, expenditures, work logs, employee and workshop reports. All these reports are generated dynamically, depending on the user's inputs. It also can customise reports on date ranges, account wise, by batches and groups.

During the first three months, feedback surveys were sent periodically to all users to collect qualitative feedback. And by analysing feedback, I was able to change certain elements to provide a better user experience.
